Organizations Leverage Oce's National Imaging Center for High-Volume Offsite Digital Imaging Capabilities

NEW YORK, March 16 — (PRNewswire) — Oce Business Services, a leading provider of document process management technology and services, is implementing innovative document imaging solutions through its national imaging center located near Salt Lake City, Utah. The solutions are designed to help organizations cut costs, increase efficiency and gain a competitive edge in today's economic environment.

In one recent example, a leading financial services institution tapped Oce to help it reduce costs and space associated with physical content. Oce leveraged the extensive resources of its national imaging center to provide the solution.

Oce digitized over 1,350,000 pages comprised of employee retirement and human resources related documents. The imaging initiative enabled the company to significantly reduce the costs and physical space that would have been required to store and access a huge amount of paper-based content at one of its New York City area locations. The project also helped the company improve its document retrieval and disaster recovery capabilities for the newly digitized content.

Oce's national imaging center, a key element in the project's success, enables Oce to offer high-volume offsite digital imaging management capabilities to its clients throughout the country. The facility operates 24X7 and can digitally image over 10 million pages per month as well as deliver image files and metadata compatible with virtually any enterprise content management system, database or other application. Capabilities also include Optical Character Recognition (OCR) technology, enabling image files to be converted into text files that can be edited or searched.

Services range from the digitization of hard copy documents, regardless of size or format, to barcode generation and interpretation and media creation and duplication including CD, DVD and hard drive. The imaging center also features robust security protection ensuring that client data is safe and readily available. Industry-standard firewalls exist at multiple data points to ensure multi-layered security and intrusion prevention. An Oce team monitors all firewall activity 24 hours a day and can quickly deal with any attacks or system failures. Additionally, RAID hard drive storage is used to provide redundancy and a separate room with video monitoring cameras is available for handling sensitive documents.

In another project for a leading provider of voice and data communications services, 'Oce digitized over 250,000 pages representing 7,000 documents spanning finance, human resources, sales and other departments. The imaging initiative enabled the company to dramatically reduce the costs and physical space that would have been required to move paper documents to its new headquarters location. The project also enhanced document retrieval and disaster recovery capabilities for the digitized content.

In one new initiative being managed in its national imaging center, Oce is scanning and extracting data from client invoices for one of the world's largest telecommunications companies. The initiative includes foreign language translation services for handling the invoices, which will be received from around the globe, and performing the data extraction at a Six Sigma®-based accuracy level. The images will be loaded onto an FTP (File Transfer Protocol) server for secure client access.
