New system provides a central location for all construction contract information and documents

SPU had a need to better manage the construction contract processes via a central repository for contract information and all associated documents. After a formal review process, SPU selected Skire Unifier, which seamlessly integrates with the SPU construction contract payment system and increases the city’s overall efficiency by providing a central repository for contract management. Unifier will help provide SPU with real-time visibility into project status, streamline construction management processes, expedite contractor payments, and deliver actionable information to management.

The Unifier-based construction contract document management system (CCDMS) will provide a central location for all SPU construction information and documents for contract management, including designs, as-built drawings, weekly redline markups used for monitoring construction progress, change orders, notifications, field construction records and other construction management documents. The system will provide an interactive solution for tracking submittals, reviews, updates and approvals of construction documents, and will automate various tasks associated with construction management, including:
- Construction Document Management: Managing contract files, including storage, versioning, access, distribution/routing, reviews, comments and approvals.
- Construction Management: Supporting process, document, and data management needs in order to manage construction completion for an awarded contract, including myriad reports.
- Document Creation: Create, store and manage documents and the associated metadata, which will facilitate searching, categorizing, cataloging, retention and disposition of documents.
- Electronic Workflow: Providing over 40 automated document workflows for each document type, including actors, milestones, durations and notifications. Processes will include tracking document modifications/edits and automated routing of documents to the appropriate people.
- Oracle Integration: Unifier will enable faster turnaround of contractor payments, facilitate daily inspection reports to provide traceability and report ability, and manage change order routing and approvals, integrated with existing Oracle systems.
- Contract Document Status Reporting: Providing better visibility of document review status for project personnel and management via reporting capabilities, either printed or electronic, focused on document status and activity information.
